Roles and Responsibilities:
  • Performs translation, formatting, input, editing, retrieval, and copying of text, data, and graphics.
  • Reading, researching, drafting, and tying up correspondence, collecting and analyzing information, and initiating telecommunications conserves the executive's time.
  • Establishes the executive's meeting schedule by planning and scheduling meetings, consulting sessions, and teleconferences.
  • Attend meetings on behalf of the executive when the executive is not present; speaks on behalf of the executive.
  • The receptionist welcomes guests and customers via telephone or in person; he or she answers questions and directs inquiries.
  • By keeping information confidential, you maintain customer confidence and protect operations.
  • Assigns work to and monitors the results of clerical staff members in order to complete projects.
  • Reports are prepared by collecting and analyzing information.
  • Performs database backups to secure information.
  • By developing a filing and retrieval system and by recording meetings, provides historical reference.
  • Participates in teamwork by completing assigned tasks.
  • Calls are screened and directed and correspondence is sent
  • Respond to queries and requests effectively
  • Plan meetings and appointments by managing your diary
  • Travel arrangements need to be made
  • Keep a dictation and a minute book
  • Obtain office supplies from suppliers
  • Produce reports, presentations and briefs
  • Devise and maintain office filing system
